Notification of employment—If you have completed all steps of the application process (including an in-person or Zoom interview), you will receive notification of a hiring decision via email:

  • Applicants who are selected will receive an email indicating they have an Offer Letter to accept. Click on the link in the email to accept this contract.
  • Applicants not selected will receive an email indicating they have not been selected for FSY 2025. Unfortunately, our office is not able to provide individual feedback as to why an applicant is not selected. We wish you the best in your employment endeavors.

Employment authorization—All persons hired will be required to verify their identity and eligibility to work in the U.S. and to complete required employment eligibility verification forms upon hire. If you are not a U.S. citizen or permanent resident, be aware that a passport is NOT in itself sufficient authorization to work in the U.S. or Canada.

  • FSY will not provide visa sponsorship for this position in the U.S. nor in Canada.
  • FSY is not approved as ‘on-campus’ employment for F-1 visa holders.

Accept/Decline Offer Letter and Confirm Assignments

When you sign the Offer Letter, you are signing an employment contract. You are committing to work for FSY and confirm the scheduled assignments you will receive later.

All FSY session assignments are made based on the availability you provide in your My FSY Info. You must contact FSY Hiring immediately if you need to change your availability after confirming your scheduled assignments.

Accepting/Declining the Offer Letter:

  1. You will receive an email notifying you that you have an Offer Letter to accept/decline in Workday. This is the contract under which you are hired to work for FSY.
  2. You should accept or decline the Offer Letter as soon as reasonably possible. Your offer of employment may be rescinded if not acted upon within two weeks. A rescinded offer may result in removal of your application from the system.
  3. Your schedule of FSY training and sessions will come later as assignments.
  4. You will not receive any assignments until after you have accepted the Offer Letter.

Confirming Acceptance of Your Training and FSY Session Assignments:

  1. You will receive an email that you have been offered a schedule of assigned training and FSY session(s).
  2. You will have TWO WEEKS to accept the assignments offered to you.
    1. Assignments not confirmed by you within fourteen days may be withdrawn.
  3. FSY resources are invested the moment you accept your FSY Offer Letter, and more resources are committed as soon as you confirm acceptance of your assignment schedule. This is a serious commitment that you are expected to honor.
    1. Give the FSY hiring team as much notice as possible (at least 14 days' notice) if you need to cancel any part of an assignment schedule you have confirmed.
    2. Contact FSY Hiring immediately regarding any extenuating circumstances.
  4. All employees must be willing to accept:
    1. Assignments during peak weeks
    2. Assignments in the state of Utah.
  5. Nothing about assignment scheduling changes the at-will nature of your employment.

FSY assignments may change from time to time. Your schedule of assignments could change after you have confirmed acceptance. The FSY hiring team makes every effort to give at least 14 days’ notice of changes to schedules, but this is not guaranteed. It is important that you watch for any updates.

If you receive a new assignment schedule, please review it and contact FSY Hiring to ask any questions. Confirm your acceptance of the assignment as soon as possible and not later than within 14 days of the new schedule of assignments.

Hiring Paperwork

You will receive an email with instructions for completing hiring documents. Remember, you are not officially hired until your required hiring documents are correctly and completely filled out and received by the BYU CE HR Office. Please call 801-422-7150 or email ce.hr@byu.edu with any questions.

Important note: If FSY receives incomplete or incorrect paperwork, you will be required to redo and resubmit the documents. If paperwork has not been completed prior to your training session, you will not be able to report to training or begin work.

Please carefully read the following instructions about required hiring document(s) and paperwork.

I-9

Before you can be authorized to work, you need to complete a Form I-9. This verifies your eligibility to work in the United States.

You should receive an email from BYU HR, id-xchg@byu.edu, to link your BYU and Workday accounts. After you have linked your account, please go to workday.byu.edu, click on "Log in to Workday," and sign in with your BYU Net ID and password. You will have onboarding tasks, including your I-9, that need to be completed before you begin working. If you have questions about your onboarding tasks, please contact BYU CE HR at ce.hr@byu.edu or 801-422-7150.

For your I-9, please use your original, signed, and current (not expired) documents.

  • Copies and photos cannot be accepted.
  • View a list of acceptable documents.
  • BYU uses DUO as an authentication service. Please have the DUO app downloaded, and make sure you can sign in with your BYU Net ID and password (not your Church account credentials) prior to your appointment.
W-4

This IRS employment form is required for tax purposes. Every hired staff member will need to complete a new W-4 form for each year they work at FSY. Completing the W-4 form is one of your onboarding tasks in Workday. The W-4 form cannot be completed until the I-9 form and Social Security verification are complete.

Direct Deposit

Direct deposit is mandatory. We cannot pay employees for any sessions worked unless this is filled out completely and correctly. Entering your direct deposit information is one of your onboarding tasks in Workday. The direct deposit cannot be completed until the I-9 has been completed and cleared.

Social Security Card

The employer requires a copy of every employee’s signed social security card to satisfy IRS regulations. You will enter your social security number and attach a photo of your card as part of your onboarding tasks.

  • Your social security card must be signed to be valid.

If you do not have a Social Security card, visit the Social Security Administration website to find the office nearest to you. When you apply for a new card, a receipt will be given to you. This receipt can be used as a temporary card to move you forward in the hiring process.

  • A receipt can only be used as a hiring document ONCE with BYU.
  • The receipt will expire in 90 days. If it expires during your employment with FSY, your pay cannot be processed until a copy of your new card has been received.

As soon as you receive the new card, SIGN IT and either bring it to the Human Resource Office or email a copy to ce.hr@byu.edu.

FSY Handbook

It is a job responsibility to read, study, and understand the FSY Handbook before beginning work and to continue studying it throughout the summer.

The FSY Handbook for 2026 will be available in conjunction with online training for FSY employees. A hard copy of the FSY Handbook will be distributed at FSY in-person trainings beginning in May 2026.

Online training can be accessed by FSY employees through their dashboard once it is made available. Questions about online training should be directed to fsytraining@byu.edu with "Online Training" as the subject line.

In-person Training

Dates for the following events may change. Please visit this page often to check for updates.

FSY U.S. Core Leadership Training—May 12–17, 2025: All hired leadership positions (Coordinator, Assistant Coordinator, and Wellness Coordinator) must attend this mandatory FSY training in person. Check in for all leadership positions will be from 11:00 a.m.–2:00 p.m. on May 12.

FSY U.S. Counselor Training Dates: All hired as Counselors must attend one mandatory Counselor training in person. The check-in time for counselor training is from 9:00–11:00 a.m.
